What we record, and why

What an account holds

When someone joins, we record a name, a username, an email address and a password. A player who joins through a club code is also linked to that club, pending the patron's approval.

• A password is stored only as a one-way hash. Nobody at the academy can read it, and we will never ask you for it.
• A date of birth, where given, is used to decide whether the consent rule applies. It is never published.
• A guardian's contact details, where given, are used only to record and confirm consent.

What playing records

Every official game produces a record: the moves, the result, the two players, the board, and the fixture it belonged to. That record is the academy's ledger and it is public, subject to the naming rule for children.

A rating is calculated from those results. Ratings change only when an arbiter validates a fixture, which is why a game can appear on the site before it moves anyone's rating.

Who can see what

Standings, fixtures, club pages and community posts are public — they are the proof a school reads before it signs, and there is no version of this academy that hides them.

A player's contact details, date of birth and guardian information are visible only to academy staff who need them, and to the patron of the player's own club.

Where the data lives

Data is held in a managed database and file store operated by our hosting providers, outside Cameroon. Photographs uploaded by clubs are held in the same file store.

How long it is kept

A competitive record is meant to last — that is the point of a career that starts in Form 1 — so results, ratings and honours are kept indefinitely and become a player's archive.

An account that is closed has its contact details removed. Its results remain, under the naming rule that applied to them.

Your requests

You can ask for a copy of what we hold about you, ask us to correct it, or ask us to remove your contact details. Requests about a child are handled first. Contact your club's patron or the academy directly.

Cookies

This site sets a cookie to remember whether you are reading in English or French, and a session token when you sign in. There is no advertising, no third-party tracking, and no analytics profile built about you.
